Terms of Service

These Terms of Service (hereinafter "Terms") are intended to define the terms and conditions under which the company EventEz (hereinafter "the Platform") makes its online event management services available to its users (hereinafter "the User" or "Users").

EventEz is a digital platform enabling the creation, management, promotion, and participation in events of all kinds, including online ticketing and custom registrations.

The Platform is published and operated from Cameroon and is accessible at www.eventez.online.

Use of the Platform implies full and unreserved acceptance of these Terms. By accessing the Platform, creating an account, or using the services offered, the User acknowledges having read these Terms and accepts them without reservation.

If the User does not accept all or part of these Terms, they are invited not to use the Platform and its services.

These Terms apply to all Users of the Platform, whether a simple visitor, a registered participant, an event organizer, or a moderator.

3.1 Account creation

Access to certain Platform services requires the creation of a user account. When registering, the User agrees to provide accurate, complete, and up-to-date information, including their email address, full name, and a valid phone number.

3.2 Account types

The Platform offers several types of accounts:

• User Account (Participant): allows discovering events, registering, purchasing tickets, and managing participations.
• Organizer Account: allows creating, managing, and promoting events, configuring ticketing and registration forms, and accessing analytics tools.
• Moderator Account: designated by EventEz to validate and moderate published events.

3.3 Account security

The User is solely responsible for the confidentiality of their login credentials. Any use of their account is presumed to be made by the User themselves. In the event of unauthorized use of their account, the User agrees to notify EventEz immediately.

3.4 Suspension and deletion

EventEz reserves the right to suspend or delete any account in the event of a violation of these Terms, fraudulent behavior, or misuse of the Platform, without prior notice or compensation.

EventEz offers two main modes of operation:

4.1 Ticketing Service

The ticketing service allows organizers to create and sell tickets for their events. This service includes:

• Creation of different ticket types (Standard, VIP, Early Bird, etc.)
• Setting quotas, prices, and sales periods
• Automatic generation of QR codes for each ticket
• Ticket scanning for access control on the day of the event
• Waitlist management
• Application of promotional and discount codes

4.2 Custom Registration Service

The custom registration service allows organizers to create dynamic forms to collect information from participants. This service includes:

• Creation of custom forms with different field types
• Collection and management of registration data
• Automatic email confirmations
• Export of registration data

4.3 Additional services

EventEz also offers the following services:

• Analytics and reporting tools for organizers
• Messaging system between organizers and participants
• Agenda and session management for conferences
• Multi-channel notifications (email, SMS, push, in-app)
• Event review and rating system

By using the Platform, the User agrees to:

• Comply with these Terms as well as the legislation in force in Cameroon
• Provide accurate and up-to-date information when registering and interacting with the Platform
• Not use the Platform for illegal, fraudulent purposes or purposes contrary to public order and morality
• Not attempt to compromise the security, integrity, or operation of the Platform
• Not collect other users' personal data without their consent
• Not publish defamatory, discriminatory, violent, or unlawful content
• Report any suspicious content or behavior via the reporting tools provided
• Respect the intellectual property rights of third parties

Any breach of these obligations may result in the suspension or deletion of the User's account, without prejudice to any legal action EventEz may take.

Organizers who use the Platform to create and manage events also agree to:

• Provide accurate and complete information about their events (description, location, date, pricing, conditions)
• Honor commitments made to participants (program, announced services, etc.)
• Ensure their events comply with local regulations regarding public gatherings, safety, and hygiene
• Obtain all administrative authorizations necessary to organize their event
• Not use the Platform to promote illegal activities
• Responsibly manage participants' personal data collected via the Platform
• Promptly inform participants in the event of cancellation or significant change to the event
• Comply with refund deadlines in the event of cancellation

The Organizer is solely responsible for the organization, conduct, and consequences of their event. EventEz acts solely as a technology intermediary.

7.1 Payment methods

EventEz offers several payment methods suited to the Cameroonian and African market via our payment partner NotchPay:

• MTN Mobile Money: payment via the MTN network
• Orange Money: payment via the Orange network
• Bank card: Visa, Mastercard, and other international cards
• PayPal: payment via PayPal account
• Bank transfer: for large amounts

7.2 Payment processing

Payments are processed securely by our partner NotchPay. EventEz does not store any banking or mobile payment data on its servers. Funds collected are paid out to organizers according to the terms defined in their usage agreement, after deduction of applicable commissions.

7.3 Commissions

EventEz charges a commission on each transaction made via the Platform. The commission rate is stated transparently on the pricing page and may vary depending on the account type and transaction volume.

7.4 Refunds

Refund conditions are as follows:

• Cancellation by the organizer: the organizer is required to fully refund participants. EventEz facilitates the refund process via the Platform.
• Cancellation by the participant: refund conditions are defined by the organizer for each event. EventEz does not guarantee a refund in the event of cancellation by the participant.
• Refund timeframe: refunds are processed within 7 to 14 business days depending on the payment method used.

7.5 Invoices

An invoice is automatically generated for each transaction and made available in the User's personal space. Invoices can be downloaded in PDF format.

8.1 EventEz's property

The EventEz Platform, including its architecture, design, source code, databases, text, images, logos, trademarks, and any other component thereof, is the exclusive property of EventEz and is protected by intellectual property laws applicable in Cameroon and internationally.

Any reproduction, representation, modification, distribution, or exploitation of all or part of the Platform without EventEz's prior written authorization is strictly prohibited.

8.2 User Content

The User retains ownership of all content they publish on the Platform (event descriptions, images, documents, etc.). By publishing content on the Platform, the User grants EventEz a non-exclusive, worldwide, royalty-free license to use, reproduce, and display this content as part of the Platform's operation.

EventEz places great importance on protecting the personal data of its Users. The collection and processing of personal data is carried out in accordance with the legislation in force in Cameroon and the principles of the General Data Protection Regulation (GDPR).

The User has the right to access, rectify, delete, port, and object to the processing of their personal data, which they can exercise by contacting the Data Protection Officer at dpo@eventez.online.

10.1 EventEz's liability

EventEz acts as a technology intermediary between organizers and participants. As such, EventEz cannot be held liable for:

• The content of events published by organizers
• The quality, safety, or conduct of events
• Direct or indirect damages suffered by Users in connection with an event
• Temporary service interruptions related to maintenance operations or force majeure events
• Disputes between organizers and participants

10.2 Limitation of liability

EventEz's liability is limited to the amount of commissions received for the event in question. EventEz shall in no event be held liable for indirect damages, such as loss of profit, loss of opportunity, moral prejudice, or damage to reputation.

10.3 Force majeure

EventEz shall not be held liable for failure to perform its obligations resulting from a force majeure event as defined by Cameroonian legislation, including in particular natural disasters, network failures, cyberattacks, government decisions, or any other unforeseeable and irresistible circumstance.

EventEz reserves the right to modify these Terms at any time. Changes will take effect as soon as they are published on the Platform.

Users will be informed of substantial changes via a notification on the Platform or by email. Continued use of the Platform after the publication of changes constitutes acceptance of the new Terms.

Users are advised to regularly review these Terms to stay informed of any changes.

These Terms are governed by Cameroonian law. Any dispute relating to the interpretation, performance, or termination of these Terms shall be subject to the exclusive jurisdiction of the courts of Douala, Cameroon.

Prior to any legal action, the parties agree to seek an amicable resolution to their dispute. To this end, the User is invited to contact EventEz's customer service for any complaint.

If the attempt at amicable resolution fails within a period of thirty (30) days, the parties shall be free to bring the matter before the competent court.
